SUMMARY:
Aeroseal is looking for a Builder Scheduler that will assist us in our mission by coordinating and managing daily schedules, performing data entry, and ensuring smooth communication between the company and builders. The role involves working with multiple portals, confirming scheduled jobs, assisting with financial reports when necessary, updating seal reports, and identifying future needs to support company growth.
QUALIFICATIONS/REQUIREMENTS:
Prior experience in scheduling, administrative support, or construction coordination is preferred.
Skills:
- Strong organizational and multitasking skills.
- Excellent communication skills, both verbal and written.
- High attention to detail and accuracy.
- Proficient in using scheduling software and online portals.
- Ability to manage sensitive data and maintain confidentiality.
Additional:
- Ability to work independently and as part of a team.
- Flexibility to adjust to changes in daily tasks and priorities.
RESPONSIBILITIES:
• Daily Schedule Coordination:
- Plan and organize daily schedules for builders, ensuring all jobs are properly allocated and confirmed.
- Communicate effectively with builders to confirm schedules and make any necessary adjustments.
• Data Entry and Record Maintenance:
- Input and maintain accurate scheduling data in company systems and databases.
- Update seal reports regularly to ensure accurate tracking of job progress.
• Communication with Builders:
- Respond promptly to emails, phone calls, and inquiries from builders regarding schedule changes, job status, and other related matters.
- Serve as a liaison between the company and the builders to ensure clarity and timely communication.
• Portal Management:
- Work across multiple online portals to track job progress, update schedules, and ensure the proper flow of information.
- Monitor and manage scheduling-related tasks within these portals.
• Job Confirmation & Follow-ups:
- Confirm all scheduled jobs and ensure all related information is complete.
- Perform follow-up actions to ensure all necessary steps are taken to ensure timely and accurate job completion.
• Assistance with Financials:
- Assist with daily financial tasks, such as tracking payments, expenses, and helping reconcile budgets when necessary.
• Identifying Future Needs:
- Proactively assess and identify potential future needs of the company related to scheduling, job management, and builder coordination.
- Recommend process improvements to optimize scheduling and workflow.
The estimated pay range for this role is $43,000-45,000. Actual pay is based on various factors including, but not limited to, the successful candidate’s experience, skills, knowledge, and job location. Please note that the compensation details listed in role postings reflect the base salary and do not include bonuses or benefits.
