Overview

ArkeaBio is a pioneer in developing technology to reduce greenhouse gas (GHG) emissions from the agricultural sector backed by Breakthrough Energy Ventures. ArkeaBio is using innovative vaccine technologies to create solutions to reduce the on-farm methane emissions responsible for 6% of global GHG emissions. ArkeaBio technology will be integrated into proven delivery systems and farming practices to safely reduce global methane emissions from multiple ruminant species across a variety of geographies and agronomic systems.

Job Summary

This role is an integral part of the administrative operations team at ArkeaBio. We are looking for candidates who are driven to help shape the company and are excited to support our mission. We are seeking an Executive Administrative Lead with a "pitch in anywhere" attitude.

Description

Reporting to the CEO, with co-management by the Chief Administrative Officer, the Executive Administrative Lead will play a vital role in supporting ArkeaBio’s CEO and executive team and will generally administer ArkeaBio’s day-to-day operations such as scheduling + travel, managing the onsite office, assisting with Board of Director reporting, as well as liaising with HR and IT to ensure effective coordination of the executive teams’ schedules, priorities, and deliverables and making certain the executive team is made aware of issues that need immediate attention, ensuring rigor and follow-through with the day-to-day running of the business.

Key Responsibilities

A successful Executive Administrative Lead will perform the following:

  • Provide comprehensive administrative support to the CEO and executive team, using a high level of discretion and confidentiality, including scheduling appointments, managing calendars, and coordinating meetings and travel.
  • Assist in preparing and editing correspondence, reports, and presentations for executive-level communication.
  • Prioritize conflicting needs, handling matters expeditiously and proactively; follow through on team projects to successful completion, often with tight timelines.
  • Coordinate and schedule company-wide meetings, events, and conferences.
  • Prepare and distribute presentation materials for internal and external meetings.
  • Reconcile credit card charges and submit them to Accounting.
  • Oversee day-to-day office operations, ensuring a clean, organized, and productive work environment.
  • Manage office supplies and equipment inventory, anticipating needs and placing orders as necessary.
  • Acting as a point of contact for internal and external vendors and service providers, coordinating office maintenance and repairs.
  • Develop and implement efficient office policies and procedures, ensuring compliance with company standards.

Qualifications/ Skills

  • Bachelor's degree in business administration, office management, or a related field (preferred).
  • 5+ years of administrative experience with 3+ years of experience supporting the executive level is strongly preferred or proven experience as an executive assistant, office manager, or in a similar role.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong attention to detail and accuracy, ensuring high-quality deliverables.
  • Exceptional written and verbal communication skills.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work independently, anticipate needs, and take initiative.
  • Flexibility to adapt to changing priorities and deadlines.
  • Previous experience in the biotech or pharmaceutical industry is a plus.
  • Excellent communication and interpersonal skills, ability to work cross-functionally in a science-based environment.
  • Self-starter with a proven commitment to excellence; results-oriented.
  • Comfortable working on a fast-paced, combined local and remote teams.
  • Proficient in HubSpot, Google Suite, Microsoft Suite, Adobe, Zoom, or any other relevant CRM or design software.
